Replying to Mail Sent to a Shared Outlook Mailbox

How to Steps

 

Reply to mail sent to the shared mailbox:

1.     Open Outlook.

2.     Open the email message you want to reply to.

3.     Click the From field at the top of your message, you should see the name of your shared mailbox. If you don't, click on From to open a dropdown menu and choose your shared mailbox.

4.     Finish typing your message and then choose Send.

When you want to send a message from your shared mailbox, the address will be available in your From drop down list. Whenever you send a message from your shared mailbox your recipients will only see the shared email address in the message.

 

If the From field is not available to select your shared mailbox, it will need to be enabled in Outlook using the steps below.

Outlook Desktop application

  1. Open the Outlook desktop application.
  2. Choose New Email on the upper-left hand side.
  3. In the New Email window, choose Options on the top menu bar. 
  4. Under Options, choose the three horizontal dots (...) for the More Commands drop down menu.
  5. Choose From, the field should now be available to select your shared mailbox.

Outlook on the Web (portal.office.com)

  1. Open Outlook on the Web.
  2. Choose New on the upper-left hand side, select Mail if prompted.
  3. In the New Mail window, choose Options on the top menu bar.
  4. Under Options, check the box next to Show From.
  5. Click on your email address in the Send field and select your shared mailbox.
