Creating a Rule to Forward Calendar Invitations from CU Outlook to Common Spirit's Google Calendar

End State / Outcome

 Automatically forward calendar invites and updates from your Creighton University (CU) Outlook account to your CommonSpirit Google Calendar.

How to Steps

Part 1: Create a Rule to Forward Calendar Invites

Option A — Outlook Desktop App

  1. Open the Outlook desktop app.

  2. Click File in the top-left corner.

  3. Select Manage Rules & Alerts.

  4. In the Rules and Alerts window, click New Rule.

  5. Choose Apply rule on messages I receive, then click Next.

  6. Scroll down and check the box labeled which is a meeting invitation or update.

  7. Click Next.

  8. Check forward it to people or public group.

  9. Click people or public group, and enter your CommonSpirit Google email address.

  10. Click OK, then Next.

  11. (Optional) Add any exceptions you want to exclude.

  12. Click Next again.

  13. Give your rule a name (e.g., Forward Calendar Invites to Google).

  14. Make sure the rule is checked (enabled).

  15. Click Finish, then Apply, and finally OK.


Option B — Outlook Web App (OWA)

  1. Go to Outlook on the web.

  2. Click the Settings gear icon in the top-right corner.

  3. At the bottom, select View all Outlook settings.

  4. Navigate to Mail → Rules.

  5. Click Add new rule.

  6. Name your rule (e.g., Forward Meeting Invites to Google).

  7. Under Add a condition, choose Type of message → Meeting invitation or update.

  8. Under Add an action, select Forward to, and enter your CommonSpirit Google email address.

  9. (Optional) Add any exceptions as needed.

  10. Make sure Stop processing more rules is checked (to avoid duplicates).

  11. Click Save.

  12. Test the rule by sending yourself a calendar invite and verifying it forwards to your Google account


Part 2: Import Your Outlook Calendar into Google Calendar

(This section imports existing calendar events; the forwarding rule only affects new ones.)

  1. Open your Outlook Calendar (desktop or web).

  2. Save the Calendar

    • Desktop App: Click File  > Save Calendar  > More options > Select Whole Calendar and Full Details    

    • Web Version: Settings >  View all Outlook settings > Calendar > Shared calendars > Publish a calendar > select Can view all details, then click Publish. Copy the ICS link that appears.

  3. Open Google Calendar.

  4. Click the Settings gear

  5. From the left menu, choose Import & Export if using a downloaded .ics file,
    or choose Add calendar → From URL if using the Outlook web ICS link.

  6. Paste the URL or select your saved .ics file.

  7. Click Add calendar or Import.

  8. Google Calendar will confirm how many events were imported.

  9. Return to your calendar view to verify the events appear.
