Understanding Outlook Calendar Invitation Responses

Have you ever accepted an Outlook calendar invitation and then had the organizer ask why you hadn’t accepted?  There is a common misconception that if you mark your acceptance on the invitation and select Do Not Send a Response that your attendance has been submitted to the calendar, but a message was not sent to the meeting organizer.  You were trying to be considerate by not filling up the organizer’s email with messages, but in fact you were not allowing the organizer to track your acceptance. 

 When you respond to a calendar invitation, there are three choices for your response.

Are you accepting your meeting invites in Outlook correctly?
 

 

 

 

 

 

  •        Edit the Response before Sending - This allows you to make a comment to the meeting organizer.
  •        Send the Response Now - This sends a response back the meeting organizer that you have accepted their invitation.
  •        Do Not Send a Response - This option results in no response being sent to the meeting organizer. (It will be added to your calendar.)

 If you choose that last option, the Response field in the organizer’s Tracking tab does not get updated, even though you’ve accepted the invite. That’s right … it shows None in the response column as in the earlier screenshot.
